To ensure a successful submission of your application, several key elements must be present in your uploaded documents. If documents do not follow the guidelines below, they will be rejected.

  1. Preferred: Scalable Vector PDF Drawings
  2. Submittal Checklists:
  3. Building, Plumbing, Mechanical and Fire Permits: A 5” Wide by 3” high blank space is required at the lower right corner of each submitted document. This space is for City of St Paul’s Reviewed for Code Compliance Stamp, which is applied at permit issuance.
  4. Fire Sprinkler Permits: Stamps for Fire Sprinkler drawings are designed to accommodate a 2.5 inch horizontal title block along the bottom of the drawing and a 1 inch border. The stamp for Fire Sprinkler drawings is 4 inches wide by 2.25 inches high and will be placed adjacent to the title block and margin in the bottom right corner of the drawing.
  5. No File Size Limitations: There are no size limitations to documents submitted online.
  6. Uploaded as Individual Files: Files must be uploaded as individual files through the ProjectDox Portal. The construction set should NOT be submitted as one file.
  7. Standard File Naming Convention: When preparing plans for building and land disturbance permits, follow the Standard File Naming Conventions. This will help facilitate uploading your files for submission and will also ensure the plans are placed in the correct order for the final compiled plan set at permit issuance.
  8. File Names Must Remain the same: The file names must remain the same throughout the submittal and re-submittal process. Revisions to file names will require the City to reject your plan resubmission.
  9. Files Should Not Be Deleted: Files should not be deleted between revisions unless the submitted file is being completely removed from the permit set.
  10. Comment Response: Customer must address all outstanding City comments and address any additional revisions to the plan set via ProjectDox.
  11. Permit is Stamped and Issued: When a permit is stamped and issued, the construction set will be available for the applicant’s use on ProjectDox Portal
  12. Stamped Construction Document Set: The applicant is responsible for providing reasonable access to stamped plans (printed or large scale digital) available on-site prior to the first scheduled inspection.

Plan Sheet size

The following list indicates plan sheet sizes that can be submitted electronically. (See individual plan checklists for additional sizing requirements).

8 ½” x 11” 11” x 17”

12” x 18” 18” x 24”

24” x 36” 30” x 42”

36” x 48”

Graphic scale

Each sheet must illustrate a typical graphic scale. If more than one scale is used on a sheet, an independent graphic scale must accompany the applicable detail. All plans must be drawn to scale.

File Naming Conventions for all Permit Types

All uploaded documents must follow the standard naming convention. This process helps facilitate re‐review in the event your application must be re-submitted and will also ensure the plans are placed in the correct order for the final plan set.

Corrected or revised submissions must use the EXACT same file name as the original submittal to ensure proper versioning of your files and to help expedite the review process. If a new sheet needs to be inserted between sheets 010 and 011, it can be numbered 010.1.  Do not add a version number when submitting an updated drawing or document

All document titles should begin with Discipline and Sheet Number followed by a descriptive title.

Plan Stamping Area Example

For 8.5 x 11 documents and 17 x 11 drawings the stamp will be 2.5 inches wide by 1.5 inches high. Stamp placement for 17 x 11 drawings is in the lower right corner and assumes a 1.5-inch title block and a 0.25-inch border. Stamp placement on 8.5 x 11 documents is in the lower right corner and assumes a 0.5-inch border all around.

Stamps for drawings larger than 17 x 11 are designed to accommodate a 4-inch-wide vertical title block along the right edge of the drawing and a 1-inch border. The stamp is 5 inches wide by 3 inches high and will be placed adjacent to the title block and margin in the bottom right corner of the drawing.

Approval stamps have a transparent background. Content behind the stamp will be visible but may be obstructed by the stamp’s text and graphics.
