To reserve a large conference room located in the basement of City Hall, call the OTC Service Desk at 651-266-6767 at least 24 hours in advance.

City, County, and State employees who regularly schedule meetings in City Hall basement conference rooms should request an account setup for the resource scheduler, a web-based application, by emailing the OTC Service Desk at OTC-CustomerService@ci.stpaul.mn.us.

TIPS:

  • Resource Scheduler User Guide
  • Room 40, the largest, has an optional divider to split the room into 40A and 40B. If you’d like to ensure your group has use of the entire space, add the divider via "services" when scheduling in Resource Scheduler.
  • When scheduling a meeting, you need to allow for a 30-minute gap between your meeting the next. This provides time for the meeting host to rearrange furniture and set up the space. Ramsey County building maintenance no longer provides conference room setup. In the system, this is usually represented by a green band before and after the meeting. You can remove this gap of time when scheduling your meeting if a meeting before or after yours already has it in place.
  • This system is "first come first serve." If you see a meeting that conflicts with a timeframe and/or room you need, you will need to contact the scheduler of the conflicting meeting to request that they reschedule.

AUDIO/VISUAL EQUIPMENT NOTICE

Conference Room 40: Room 40 has a podium with a computer that can be used for presentations and videos. Projector display quality is poor and is no longer recommended for use. If use of the projector is unavoidable use the provided room computer for the best picture currently possible.

Conference Rooms 41 and 42: Each room has a media cabinet that contains AV equipment that can be used in conjunction with a laptop for presentations and videos. If possible, OTC recommends avoiding the use of the rooms' AV equipment as it's not in satisfactory working condition.

Please call the OTC Service Desk at 651-266-6767 for any technical needs/questions.
