To reserve a large conference room located in the basement of City Hall, call the OTC Service Desk at 651-266-6767 at least 24 hours in advance.  

City, County, and State employees who regularly schedule meetings in City Hall basement conference rooms should request an account setup for the resource scheduler, a web-based application, by emailing the OTC Service Desk at OTC-CustomerService@ci.stpaul.mn.us.

  • Room 40, the largest, has an optional divider to split the room into 40A and 40B. If you’d like to ensure your group has use of the entire space, add the divider via "services" when scheduling in Resource Scheduler. 
  • When scheduling a meeting, you need to allow for a 30-minute gap between your meeting the next. This provides time for the meeting host to rearrange furniture and set up the space. Ramsey County building maintenance no longer provides conference room setup. In the system, set up time is usually represented by a green band before and after the meeting. You can remove this gap of time when scheduling your meeting if a meeting before or after yours already has it in place. 
  • This system is "first come first serve." If you see a meeting that conflicts with a timeframe and/or room you need, you will need to contact the scheduler of the conflicting meeting to request that they reschedule. 

AUDIO/VISUAL EQUIPMENT NOTICE 

All audio/visual equipment is no longer available in City Hall conference rooms 40A/B, 41 and 42. You are welcome to supply your own portable audio/visual equipment.
